MKG has offices in NYC and LA. Candidates are expected to live within commuting distance of either office and be present for collaborative, in-person work on Tuesdays, Wednesdays and Thursdays.

GENERAL PURPOSE: The Junior Executive Assistant will report to the President of MKG with a dotted line into the Sr. Manager, People Operations. They will be responsible for supporting the President with administration tasks and overall organization as needed including preparing documents, calendar management, and scheduling. In addition they will provide general office coordination and internal support across the agency.

FLSA: $65K-$75K
***This is the minimum + maximum base salary that we, in good faith, are willing to pay at the time of the posting.

Salary commensurate with experience.

MAJOR JOB OBJECTIVES AND RESPONSIBILITIES 

CORE DUTIES:

Executive Related Responsibilities:

  •  Manages President calendar requests and sets up meetings
  • Creates documents, meeting agendas and materials as needed
  • Assists with maintaining and updating internal and external documents
  • Takes notes in meetings and coordinates next steps coming out of meetings
  • Holds internal stakeholders accountable for meeting agreed upon due dates for deliverables
  • Maintains all-agency calendar
  • Communicates with agency clients as needed
  • Answers and fields incoming calls and emails
  • Ensures a pleasant first day experience for all new hires in partnership with the People Operations team, organizing seating arrangements, IT support, and agency wide communication
  • Assists in maintaining the company website with current vision, mission, work, and staff
  • Assists with administrative tasks for agency leadership as needed

Agency-Wide Related Responsibilities:

  • Greets visitors to the office – welcomes and directs them appropriately
  • Manages content on the displays at the front desk
  • POC for office building facilities, cleaning crew, and outside office vendors (coffee, water, etc)
  • Ensures the office is well maintained, stocked and always presentable
  • Manages budget for office related expenses
  • Set up / clean up conference rooms for client meetings (providing drinks, ordering food)
  • Partners with IT on tech set up for the teams for meetings/gatherings
  • Organizing office events on an as-needed basis, ordering food/drinks/party supplies (partner with Celebration committee)
  • Maintains agency databases with contact information, subscriptions, etc.
  • Various other tasks as they may arise

General Office Coordination:

  • Manages shipping and receiving
  • Sets up deliveries for staff
  • Filters and distributes incoming office mail
  • Monitors, manages and stocks inventory of office supplies, snacks, drinks, etc.,
  • Waters plants
  • Loads/empties dishwasher

RESPONSIBILITIES

  • Acts as an extension of the President
  • Ensures the office is well maintained
  • Provides a pleasant experiences for all employees and guests
  • Assist the greater MKG team with needs surrounding the office
  • Provides support to other members of the Leadership team, as needed
  • Provides onsite support to project teams, as needed
  • Acts as a cultural conduit for the agency
  • Maintains confidentiality with all information

REQUIREMENTS AND QUALIFICATIONS

Minimum Qualifications:

  • 3+ years of relevant experience
  • Based on NYC
  • Experience with a Mac + GSuite
